Contact Management


Contact Management contains all the tools needed to add, import, update, search and categorize contacts and email lists, to effectively organize contacts for email and event marketing campaigns and membership portal.

Adding and Importing Contacts

There are three different ways for you to add contacts into your lists via the site, and all three begin by selecting a contact list to add put contacts in and clicking [add/import]. After choosing a method, you’ll need to select the contact lists in which to place new contacts. In all cases, you need only a minimum of an email address to create a contact. All other information is optional.

One by One

The first, and most time consuming method, is by adding the information on each contact into the system one at a time. Useful for adding detailed information to a small number of contacts, but not recommended for adding contacts in bulk. Selecting Save and Continue will create a contact with the provided information and empty the fields for creating another contact.

Copy and Paste

The Copy and Paste option is intended for long lists of contacts which are not in an already formatted state, or in hardcopy. This option can handle thousands of contacts at once, taking their email addresses and then any other information, regardless of order, and converting them for use by MaketingShip services.

In addition to deciding which information to include with the email addresses, you can choose a delimiter, a checkmark to tell the system when one data field for a given contact ends and the next begins. Hitting enter to create a new line always begins a new contact.

Importing

The Import option is intended for the importing of a massive number of contacts in a single action, and can be performed on a .xsl file, .csv file, or other properly formatted databases files. The import method reads the database or spreadsheet file, reading every data field and tries to assign sorting values based on the information in each field.

Clicking the Set First Row as Field Name box will prevent the first row from being imported as a contact. Checking the Overwrite option will update the information of any contacts with the same email address as one you are importing, instead of not importing them, useful for making edits to a massive number of contacts at once.

Choosing the right delimiter and noting what type, if any, of quotation marks were used when importing a formatted text file will ensure different data fields are properly recognized as such during the act of importing.

After importing, the contact information will be displayed as a series of columns, a sorting value visible for each column derived by the import tool. If the import tool has mislabeled a column, click the sorting value and select the correct label from the drop down field.

In all of the methods, saving and exiting will make the system use the information gathered to create new contacts, and then navigate to the contact list to display the newly created contacts.
